Museum internship - induction week
Week of 6 July. Report to the staff entrance on Cannon Lane, not the visitor doors.
Every session is compulsory unless marked optional. Sessions in the stores require closed shoes; you will be sent away to change and the session will not be repeated.
- Mon 09:00 Welcome and security passes. Bring photo ID; the pass cannot be issued without it.
- Mon 14:00 Handling objects (stores). Closed shoes.
- Tue 10:00 Cataloguing systems. Laptops provided.
- Wed 09:30 Conservation lab tour. Optional, but places are capped at eight.
- Thu 11:00 Working with visitors, including school groups.
- Fri 09:00 Department placement meeting, one to one.
You will be placed in one department for the rest of the internship. Placements are decided at Friday's meeting and take account of the preference form you submitted, but they are not decided by it; where three interns want the same department, we look at the cataloguing exercise from Tuesday.
The conservation tour is optional because the lab cannot take everyone. It is also the session interns most often say they wish they had attended, so book it early rather than leaving Wednesday free.
Lunch is not provided. The staff canteen is open 12:00 to 14:00 and is cheaper than anywhere outside, but it closes sharply.
Expenses for travel are reimbursed monthly on production of tickets. Keep them from day one; we cannot reimburse from a bank statement alone.

Subject: Passport renewal - your application is on hold
From: Passport Office
To: Applicant reference PR-88213
Your application cannot proceed with the photograph supplied. Rather than list the rules, here is what is wrong with yours and what to do.
The photograph shows a shadow across the left side of the face. Studio photographs are usually fine; ours are rejected most often when taken at home against a wall, because the wall throws a shadow unless the subject stands well away from it.
Send a replacement through the reference link within 28 days and your place in the queue is kept. After 28 days the application is closed and the fee is not refunded, though a closed application can be reopened within six months for a reduced fee.
Your supporting documents are fine and do not need to be sent again. The birth certificate has already been returned to you by secure post.
Processing times are currently three weeks from the date we accept the photograph, not from the date you first applied. If you are travelling within that period, do not book non-refundable travel; we cannot expedite an application that is on hold, only one that is complete.
The countersignature on your form is valid. People often replace it along with the photograph, which is unnecessary and slows things down, because a new countersignature is checked again from the beginning.

Memo: Meeting rooms - three rules, and why
To: All staff, Ashlock Consulting
From: Facilities
Date: 9 May
Room usage data for April shows 71 percent of bookings held, and of the rooms sitting empty, most were booked. Three changes follow.
Rooms release themselves. If nobody checks in on the panel by the door within ten minutes, the booking is cancelled and the room shows as free. Check-in takes one tap and does not require the organiser; anyone in the room can do it.
Recurring bookings now expire after eight weeks. You may renew them, and renewal takes one click, but a meeting that has quietly stopped happening will no longer hold a room for a year.
The two large rooms cannot be booked for fewer than four attendees between 10:00 and 15:00. Outside those hours they are open to anyone. We resisted this rule for a long time because it feels bureaucratic, but the data was one-sided: in April a two-person call occupied the twelve-seat room on nineteen occasions while eight-person meetings sat in the cafe.
Nothing here applies to client-facing bookings, which keep priority and can override an existing booking through Facilities, not through the panel.
If a room is genuinely free but shows as booked, tap Report on the panel rather than emailing us; the report tells us which panel and when, and an email usually does not.

Book drive for the hospital wards - donations wanted
Drop-off: Ward reception, weekdays 09:00 to 17:00, until 30 November
We are collecting books for the adult wards and the children's outpatient area. Last year we received 1,400 books and could use about half of them, which is why this year's notice is more specific.
We can use paperbacks in good condition, large print of any kind, and children's picture books. Large print is the category we never have enough of and the one least often donated.
We cannot use hardbacks for the wards, because patients read lying down and the weight matters. Hardbacks go to the volunteer-run second-hand stall instead, which funds the same wards, so bring them anyway and tell reception which pile they belong in.
Please do not donate anything that has been in a house with a recent infectious illness, and nothing damp. Infection control checks the boxes and discards whole boxes rather than individual books, so one damp paperback can cost twenty good ones.
Magazines are welcome only if dated within the last three months. Older ones are removed by staff, which takes time we would rather spend elsewhere.
If you want to help beyond donating, the trolley round needs two volunteers on Tuesday and Friday mornings. Training is one afternoon and includes the hand hygiene certificate, which is also valid for other volunteering in the hospital.
