The new system goes live on Monday 17 March. The old one stays readable until 30 April, but no new bookings can be made in it after the 14th.

The three days between the 14th and the 17th are the part that needs planning. Appointments for that window must be written on paper at reception and entered into the new system on the 17th. Do not enter them early; the system rejects dates in the past relative to go-live and the entry is silently dropped.

Patient records transfer automatically. Appointment notes do not, because the two systems store them differently. If a note matters clinically, the nurse who wrote it should copy it across before 30 April.

Telephone bookings continue as now. The only visible change for patients is that confirmation texts arrive from a different number, so expect calls asking whether the text is genuine. The wording on the practice website will be updated on the 17th so you can point people there.

Two staff can be logged in to the new system at one desk, but not with the same account. Sharing an account looks like one person double-booking and the system locks the slot.

Training is on the 12th, two sessions, and both are compulsory even for staff who attended the supplier's demonstration in January.

Text 2 — Schedule

Regional Teaching Conference - Saturday 4 October

Marrow Hall. Badge required in all rooms.

Registration opens at 8:15. Collect your badge before the first session; the desk closes at 10:00 and reopens only at lunch.

  • 9:00 Opening lecture, Main Hall. No booking needed.
  • 10:15 Workshops A to F, Rooms 1 to 6. Booked in advance. Unclaimed places are released at 10:20.
  • 11:45 Poster session, Foyer. Presenters stand with their posters; others move freely.
  • 13:00 Lunch, Dining Room. Dietary requirements as registered; no changes on the day.
  • 14:00 Workshops G to L. Same booking rule as the morning.
  • 15:30 Panel, Main Hall, followed by a 16:30 close.

Workshops B and H are repeats of each other, as are D and J. Booking both halves of a pair is possible but wastes a place that others wanted.

The building has one accessible entrance, on Trent Street, and the Main Hall is on the ground floor. Rooms 4 to 6 are on the first floor and are served by a lift that takes two people.

Recording is not permitted in workshops. The opening lecture and the panel are recorded by the organisers and circulated within two weeks.

Certificates of attendance are emailed the following week to those who scan their badge at the close, not to everyone on the registration list.

Subject: Student visa - documents to bring to your appointment

Your appointment letter lists the documents. This email covers the three that cause almost all of the problems we see.

Financial evidence. The balance must have been held for 28 consecutive days, and the closing date of the statement must be within 31 days of the date you apply. These two windows are different and both must be satisfied. A statement that is three weeks old with a 28-day history is fine; a perfect 28-day history from five weeks ago is not.

Translations. Any document not in English needs a certified translation, and the translator's own details must appear on it. A translation you did yourself is not accepted even if it is accurate, and we cannot certify it for you.

The confirmation of acceptance. This is issued by the university, not by us, and it expires. If your start date moves, the old one does not stretch to cover it; the university issues a new one and the old number becomes invalid.

Bring originals. Photocopies are taken at the appointment and the originals are returned to you the same day.

If one item is missing, the appointment still goes ahead in most cases, but the decision is paused until the item arrives. Missing financial evidence is the exception: that appointment is rebooked.

Text 4 — Notice

Water to blocks C and D will be off from 08:00 to 16:00 on Thursday 21 August while a valve is replaced. Blocks A and B are unaffected.

Fill containers the night before. Roughly ten litres per person covers drinking, washing, and cooking for the day. The tap in the bin store runs from the block A supply and will work; please use it for filling containers rather than for washing, as there is one tap for around ninety flats.

Toilets will flush once on stored water and then not refill. If you are at home, fill the bath or a bucket so you can flush manually.

When the supply returns it will be cloudy and may run brown for a few minutes. This is air and disturbed sediment, not contamination. Run the cold kitchen tap until it clears before using the water, and run it before using any appliance, because sediment is what damages washing machines after work like this.

Residents with a medical need for continuous water should tell the office by Tuesday. We can arrange bottled delivery, but not on the day itself.

If your water has not returned by 17:00, call the office rather than the water company. The company will tell you the area is back on, which will be true for the street and not for your flat.
